Terms of Service — churchoffice.ai
Effective date: November 1, 2026
Agreement and eligibility
LeadLocal operates churchoffice.ai. Our mailing address is 3624 SE 5th St, Renton, WA 98058.
These terms govern use of churchoffice.ai and its intake, previews, design materials and approved brain-building service. By using the service or agreeing in the intake, you accept these terms and the linked policies. You must be at least 18 and have authority to act for your church. Do not use the service for minors.
Service and pilot offer
Church access with an issued code is Free for now. No payment or purchase is required in the current Church pilot, and checkout is disabled. Access codes are not permission to act for another church. We may limit capacity or end the promotion prospectively; we do not retroactively charge for free work already accepted.
The service produces a proposed eight-helper team design, graphic, brain poster, setup guide and breakdown based on the information supplied. A one-day setup is a goal, not a promise. Missing sources and approvals can affect completeness and timing. General customer emails and SMS are disabled; only the approved test-results email path currently delivers PDFs. A preview is not a verified, connected or deployed working system.
Full builds need your explicit layout approval and our review sign-off. Drive handover and account connections are not automated in this pilot. Any future connection or delivery must be authorized separately; we do not ask for passwords or whole-Drive access.
Your responsibilities
Provide accurate information and only material you own or have permission to use. Obtain church authorization and each person’s required consent. Keep sensitive personal records, child data and credentials out of the service. Follow the Acceptable Use Policy and review every generated item before relying on it.
Keep private links and your account access secure. Notify us if access is lost or exposed. You control who receives your exports and shared graphics. Do not use another church’s code or link or attempt to bypass access controls.
Ownership and limited processing permission
You retain ownership of your submitted material and church-specific brain content to the extent you have those rights. You grant us a limited permission to store, screen, format and process that material solely to provide the authorized service, manage consent, maintain security and meet legal obligations. This permission ends on deletion except for lawfully retained evidence.
Our pre-existing software, template designs, illustrations and other licensed materials remain ours or their licensors’. We permit you to use delivered materials for your church and move your own content to other tools, subject to third-party licenses. We cannot guarantee copyright protection or exclusivity for AI output.
Human decisions and third-party tools
Helpers prepare drafts. An authorized person must review factual accuracy, theology, permissions and recipients before any use. The service is not professional legal, medical, financial, counseling or safeguarding advice, an emergency service or a substitute for pastoral judgment. No money, message, sharing, deletion or account change is automatically authorized by an intake answer.
Third-party storage, email and any later approved AI tools operate under their own terms and policies. You are responsible for any account you choose to connect and for verifying that its access and settings are appropriate. Portability of files does not guarantee that every external tool can use every feature.
Suspension and ending service
You may stop using the service and request export or deletion at any time. We may restrict access for unsafe material, misuse, legal requirements or a security concern. Where appropriate we provide notice and a chance to resolve the issue. Termination does not erase legally required consent or audit records; the retention and deletion policy still applies.
Disclaimers and responsibility
To the extent permitted by law, the pilot is provided as available without warranties of uninterrupted service, error-free output, fitness for a particular purpose or guaranteed savings. We do not guarantee a result or completion date. Nothing excludes a warranty or right that applicable law does not allow us to exclude.
To the extent permitted by law, we are not responsible for indirect or consequential loss from unreviewed output, exposed private links, unauthorized submissions or external services. Responsibility and remedies remain subject to mandatory law; nothing limits liability that cannot lawfully be limited, including fraud or willful misconduct. You remain responsible for unlawful material or misuse you authorize.
Law, disputes and notices
Washington State law applies except where mandatory local law requires otherwise. Contact legal@churchoffice.ai first to seek an informal resolution. Unless mandatory law provides otherwise, disputes may be brought in courts with jurisdiction in Washington State. These terms do not require arbitration or waive non-waivable rights.
We post material changes with a new effective date and provide additional notice or agreement when required. If a provision is unenforceable, the remainder remains in effect. These terms and incorporated policies govern the service unless a signed agreement states otherwise. Terms notices: legal@churchoffice.ai; privacy requests: matt@churchoffice.ai.
