Who we are.

churchoffice.ai is run by LeadLocal, 3624 SE 5th St, Renton, WA 98058. Steward Systems (stewardsystems.ai) and churchoffice.ai are LeadLocal companies. Questions: matt@churchoffice.ai.

The short version.

• We use your files and answers only to build your brain. Nothing else: no marketing, no AI training, no sharing.
• The AI reads only the files you pick. Your brain is built in a private folder in our Drive.
• Once we hand over your brain and you confirm you've signed in, we permanently delete our copy and send you proof of deletion.
• If you don't go ahead, we delete everything at 90 days.
• You own your data and your ministry brain.
• Helpers draft first. A person decides. Nothing goes out without your yes.
• We never ask for access to your whole Drive. You pick the specific files and links.
• When your brain is built, we deliver it to your Google Workspace Shared Drive, by ownership transfer if you use Gmail, or as a zip for everyone else.
• After handover, once you confirm you've signed in, we permanently delete our copy and send you a signed Certificate of Deletion as proof.
• You can stop and ask us to delete everything at any time.

What you get.

The free path gives you your graphic and your full breakdown. During the 30 day pilot, your full brain and how to guide are also free after you approve your breakdown.

What we collect.

• Your access code.
• What you type in the intake: your name, email, church, role, and your answers.
• The specific files and links you pick, each tagged with a lane.
• Voice samples you paste, and staff samples only with that person's own consent.
• If you choose to connect your own Bee (recommended, not required), the recordings you choose to share. Recordings need consent from everyone in them.
• Basic site data and cookies, as you choose in the banner.

What you should leave out.

Anything about minors, counseling sessions, pastoral care notes, confession, prayer requests, health information, donor or giving records, staff files, passwords, bank or card numbers, and legal records. If something slips in, we remove it and send it back unread.

How we use it.

Only to make your free preview and full breakdown and, if you approve, to build and hand over your ministry brain. We never sell your data.

Who authorizes.

The lead pastor, or someone the church authorizes, agrees for the church. Each staff member whose material is included checks their own consent box. We can send them a link.

AI providers.

Our AI workspace uses outside AI providers, such as the AI and cloud services that run our workspace. They may keep short term logs, up to about 30 days, under their own terms. We don't control those logs.

How long we keep it.

We keep your files and answers in a private folder in our Drive only while we build. Once we hand over your brain and you confirm you've signed in, we permanently delete our copy and send you proof of deletion. If you don't go ahead, we delete everything at 90 days. If you ask us to delete sooner, we delete your intake, files and graphic within 30 days of your request, and keep only what the law requires (for example, consent records).

Helpers and safety.

Helpers never message a student one to one and never claim to be a person.

LeadLocal does not sell or share mobile numbers or text opt in data with third parties for marketing.

We do not share contact info with outside partners. churchoffice.ai (a LeadLocal company) contact you about related services only if you check that box. Text message opt in data is never shared.

Business transfer.

If LeadLocal or a brand is sold or merged, contact info from people who opted in may transfer to the new owner under this same policy.

Your choices.

Ask to see, fix or delete your data at matt@churchoffice.ai. Change cookie choices anytime in Cookie settings.

Security.

We keep your files in a private, password protected folder that only our build team can open, we use secure (encrypted) connections, and we turn on two step sign in for our accounts. If something goes wrong, we'll tell you as the law requires.
